What the private clients & formalities sector sends us most often
The Portuguese community is the largest in the country, and Portuguese is an everyday civil status language here: births, marriages, estates, nationality applications. Add the roughly 220,000 cross-border workers who work in the Grand Duchy without living in it, and the families who arrived with the European institutions. Moving from one civil status register to another almost always means producing translated papers. When somebody calls us, they have usually already been handed the list at the counter: we start by going through it with them, line by line.
Civil status
Birth, marriage, divorce or death record, acknowledgement of a child and certificates issued by a consulate.
Papers for a foreign authority
Records, attestations and certificates intended for a town hall, a notary or an insurance fund in another country, rendered in its administrative vocabulary.
Court decisions
Divorce judgments, decisions on the custody of children, adoptions and orders to be recognised in another state.
Schooling and degrees
School reports, attendance certificates and qualifications asked for to enrol a child or to build a recognition application.
Licences and vehicles
Driving licence issued abroad, registration certificate and certificate of conformity for an imported vehicle.
Swearing and legalisation
Where the recipient wants a legalised signature, we take care of it. The apostille, on the other hand, concerns the original document and is requested from the Ministry of Foreign and European Affairs: we set out the steps for you.
The private clients & formalities sector in a country where three languages coexist
The people who write to us almost always have a list of documents in front of them and a date already fixed. So we start by sorting. Is the sworn translation enough? Does the translator's signature also need legalising? Does the country that issued the record require an apostille on it first? The answers differ from one office to another, and a document ordered for nothing stays a document paid for nothing. Tell us which counter you are heading to, and we settle it before the work starts.
A good share of the formalities here involves documents from elsewhere. A Luxembourg nationality application resting on records issued in Portugal, Cape Verde or Brazil, a marriage to a partner living beyond one of the three borders, a degree earned in Italy or Serbia that needs recognising, a car bought in Germany and then registered here. And sometimes the movement is internal: a record drawn up in German by a commune in the north, wanted in French by the office that has to register it. We produce the expected version in either direction, without touching the structure of the record.
You will not have to travel anywhere. A sharp phone photograph is enough to start the translation, and the stamped copy goes out by registered post when an office insists on paper. If your deadline is close, say so in your first message: a sworn translation can be ready in 24 to 48 hours when the situation calls for it.

When the spoken word counts as much as the written one
Ten minutes at the counter, and the file leaves exactly as it came if nobody understood anybody. An interpreter saves you the next appointment.
Municipality and social office
Population counter, civil status, residence and a social welfare interview, in Luxembourg as much as in the surrounding municipalities.
Marriage and partnership
Filing the paperwork, the ceremony at the municipal building and declaring a partnership.
Appointment at the notary office
Opening an estate, a distribution between heirs or signing a power of attorney, when one of the parties present cannot read the deed.
Medical appointment
Consultation, examination or hospital stay, on site or by phone if nothing can wait.
A Luxembourg civil status record may be drawn up in French or in German, and a foreign authority that reads only one of the two will send the file back without always explaining why. The reverse happens as well: a Portuguese, Italian or Romanian record presented here has to arrive in the language the department expects, sometimes in sworn form. Ask for the exact list before ordering: that is the habit which saves the most wasted appointments.
Four steps between your upload and the handover
A single project manager follows your private clients & formalities file from the first message to the handover, so that no instruction gets lost on the way.
- 01
Send the document as it is
A phone snapshot will do, badly framed included. For a spoken assignment, give us the date, the address of the appointment and the two languages involved.
- 02
Price and deadline inside one hour
You receive the price, the handover date and the route chosen: sworn where an authority requires it, standard in every other case. No commitment attached.
- 03
A linguist from the field takes it on
The text goes to someone who uses private clients & formalities terminology every day, and a second linguist reads it again before anything leaves us.
- 04
File delivered or interpreter on site
The file reaches you electronically. The stamped copy follows by registered post when the recipient insists on it, and the interpreter turns up at the agreed address.
A counter asking you for a sworn translation?
Photograph the document and send it over. Inside one hour you will know what is needed, for what date and at what price.
What changes the moment a private clients & formalities file reaches us
The words of the administration that will read it
We write in the vocabulary of the receiving department: official names are not the same from one country to another, and a file often stalls on that detail rather than on its substance.
Everything is settled remotely
You photograph, we send a file back. If the stamped copy is asked for, it goes out by registered post, to an address in the Grand Duchy or abroad.
The specialist for the field, not the first one free
A specialised text goes to someone who practises in that area. A tight handover date does not suspend the rule: it only shortens the time we have to find the right person.
Confidentiality signed before anything is opened
Everyone involved signs a confidentiality undertaking before reaching your file. Documents sit on infrastructure located inside the European Union and are erased on a written request.
The approved quote is the invoice
Nothing is added later. Revision, layout work and delivery are inside the figure stated at the outset.
No travel charge
Luxembourg, Esch-sur-Alzette, Differdange, Dudelange, Bettembourg, Mersch, Ettelbruck: the interpreter travels there without the journey being billed.
Frequently asked questions
Does a record already drawn up in French have to be translated?
Not for an administration here, since French is among the country's official languages. The blockage is often elsewhere: the department asks for a recent copy, issued not long ago by the originating authority. We work on the papers that are not in the right language, and we say plainly when our work would serve no purpose.
A Portuguese document for a formality here, how does it work?
Send us a legible photo of the document, front and back. Inside the hour we say whether a sworn or a standard translation is needed, which language to produce it in and what it costs. Portuguese is among our most requested pairs, and an ordinary civil status record comes out in 24 to 48 hours when it is urgent.
Do we have to come to your offices?
Never. Everything is handled remotely: quote request, sending the documents, payment and handover of the file, between 8am and 10pm, Saturdays and Sundays included. If the receiving department wants the stamped copy, we post it by registered mail to the address of your choice, in the Grand Duchy or elsewhere.
My appointment is in two days, is it feasible?
Often yes, but say so on the phone rather than in writing and give the date of the appointment. We look straight away at whether a sworn translator is free on your pair. On the most requested languages an ordinary civil status record is delivered in 24 to 48 hours. If the deadline will not hold, you hear it at once and not the evening before.
